Fall is a busy time in households around the country and for many estate managers, it’s a fantastic time to take stock of household inventory, plan and prepare the property for the cooler months ahead, check in with other staff members about responsibilities, and organize areas for maximum efficiency.
Preparing Your Estate’s Inventory for Fall
A well-run home means all the details are covered, and an autumn review can enhance productivity, ensure valuable assets are protected, and that the property is ready for in-home entertaining or travel obligations.
Here are some fall inventory management ideas to consider this season.
Determine the Right Tracking System
Every estate is unique and determining which method of tracking inventory works best is crucial.
For some estate managers, detailed spreadsheets is more than sufficient. For others, a dedicated digital inventory management system is needed – which allows for more detailed tracking.
For example, these systems could include spaces for serial numbers, appraisal information on high value items, or insurance details.
Digital systems may also be necessary if there are multiple residences, which can allow for inventory tracking or comparisons across properties or the coordinating of purchases.
Start with Inventory Basics
Spring and summer in busy estates often means a lot of coming and going.
Now that fall is in full swing, it’s an ideal time to review household inventory and determine what needs to be replaced, repaired, filled, or prepared for storage.
The best thing to do is look first at the high traffic or frequently used spaces like bathrooms, kitchens, pantries, or other storage rooms.
Create a written checklist of key items, checking quantities and conditions of essentials. These might include paper products, cleaning supplies, pantry staples, and more.
Next, move onto specialty items. For ultra-high-net-worth homes, this process may also include maintaining an accurate record of antiques, high value or rare artwork, valuable décor or furnishings, or electronics.
Document everything in detail – including locations of the items, in case other domestic staff or insurance queries require access or additional information.
Plan for the Holiday Season
The holiday season is right around the corner, and this is a busy time for many homes — especially when it comes to entertaining.
Because of that, it’s important to plan accordingly now for what products may be needed then. Review seasonal décor, table linens, centerpieces, outdoor lighting, and other holiday accessories. Confirm electrical pieces work well and identify things that need professional cleaning, replacement, or repair.
It’s also a good idea to ensure serving dishes, glassware, and other tableware is intact and organized so holiday gatherings can happen without any hiccups.
Store Outside Gear
Fall weather means cooler days and evenings, and outdoor equipment or other seasonal furnishings should soon be put away for the season.
Estate managers should coordinate with landscaping teams or other maintenance personnel to ensure what outdoor items need repair, replacement, or special fall or winter storage.
This is a great time to inspect patio furniture or cushions, umbrellas, grills, pool accessories, garden tools, and lawn equipment for damage or wear.
Schedule any maintenance on the products as soon as possible, then plan accordingly for storing in a secure area.
For larger estates with tennis or basketball courts, pools, outdoor entertainment venues, or guesthouses, be sure there are separate detailed records for each of those spaces.
Don’t Forget a Vendor List
Most estates have a variety of moving parts and that often means there are different vendors overseeing different things in and around the home.
At the time of fall inventorying, make sure all vendor lists are up to date with contact information and account details, along with any information about payments or regularly occurring appointments.
In addition, be sure there is clear documentation about which authorized staff members are able to coordinate purchases.
Check In with Other Staff
As things get busier this season, it’s a great time to check in with other household staff to ensure they have what they need to do their job well.
It’s also a good time to discuss their responsibilities, provide any updated training or refreshing on their role, and open the floor for any questions.
Overall, the fall inventory process is about more than organization – it’s about planning ahead so you can anticipate any needs coming down the pipeline.
With reliable systems and proactive planning, estate managers can help ensure each residences is well-equipped and prepared for what’s ahead.
